Job Description:
Caleb Lovejoy’s Almshouse Charity provides accommodation for four people at 5,7,9 & 11 Bury Street in Guildford, GU2 4AW.
The almshouses are governed by a Board of Trustees who wish to appoint a Manager and Clerk and invite applications for this part-time post. The successful applicant will work on a self-employed basis at an hourly rate of £30 per hour. The work load can be variable, depending on both planned and unplanned issues arising, however it is anticipated that around eight hours per week will suffice in normal circumstances. There will be a three-month probationary period.
The main duties and responsibilities of the role are:
- Take overall responsibility for the day-to-day smooth running of the Caleb Lovejoy Almshouse Charity under the direction of the Trustees.
- Maintain regular contact with residents to check welfare and ability to sustain independence. Respond to any issues that arise regarding maintenance of the cottages and oversee such maintenance. Most other duties can be carried out from home.
- Manage day-to-day finances, prepare annual budget and draft annual accounts in conjunction with the Finance Committee and external accountants.
- Deal with the formalities upon the vacating of properties and securing new residents.
- Administration of Trustee and Board meetings.
- Ensure compliance with Companies House and Charity Commission legislation and keep these records up to date. Guidance is available from the Almshouse Association, of which the charity is a member.
- Carry out annual risk assessment.
- Arrange the quinquennial building survey and liaise with Trustees, surveyors and GBC conservation officer over planned remedial work.
- Ensure electrical and gas installations are checked periodically in accordance with legal requirements.
- Organise an annual reception (usually 40-50 guests).
The successful candidate will have good administrative, financial and IT skills. Strong interpersonal skills are essential. A flexible attitude and ability to work largely unsupervised are also essential attributes. As the role involves visits to the almshouses semi-regularly, it may suit someone living locally.
