    we don’t have a form as such. We usually pre-authorise any trustee expenses at trust board meetings and the clerk refunds money on production of a receipt. We normally do this via e-mail with the reason for the expense in the subject line. For example I’m attending the 2025 members day, I paid my own fee and for my own train ticket. The Clerk will refund me at our next meeting (when a report by me on the members day will be on the agenda).

    Thank you. We have found a local surveyor who is quoting us Ā£4150 (plus Vat) for the survey to gather data on our stock (26 units in two single story terraces) to provide information relating to component renewals, compliance with the Decent Homes Standard and the Housing Health and Safety Rating System (HHSRS). First is this a “quinquennial survey” since we’ve never had one before (Almshouses built in 1905 so a bit over due). We only took over as a Trustee Board three years ago so still finding lots of things that need catching up

    Our Alms houses received a grant from Housing England’s predecessors in the 1980s towards the cost of a new heating system. Housing England are now blocking our transfer to a CIO unless we repay nearly Ā£60,000. Our solicitor and accountant cant see any way round it.

    We are also looking for someone to do our 5 year “condition report” but they seem to be like hen’s teeth
